Gmail sending limits in 2026: what Google allows, and what's safe for cold email

Google's daily limits for Gmail and Workspace, the errors you'll see when you hit them, and the much lower numbers that keep a cold email mailbox healthy.

· Mailnitrix team

Google publishes sending limits for Gmail, and if you cross them your mailbox stops sending for up to a day. For cold email, though, the published limit is almost irrelevant. A mailbox's reputation gives out long before Google's counter does.

This guide covers both numbers: what Google allows, and what actually keeps a cold email mailbox healthy.

Google's published limits

For paid Google Workspace accounts, Google's sending limits page lists, per user:

LimitGoogle Workspace
Messages per day2,000 (500 on trial accounts)
Messages sent by mail merge per day1,500
Recipients per message2,000 in total, of which 500 external
Total recipients per day10,000
External recipients per day3,000

Personal @gmail.com accounts have lower limits, commonly cited at around 500 recipients a day. Google adjusts these numbers from time to time, so check the source before you plan around them.

What happens when you hit them

Gmail rejects further mail with an error like this:

550 5.4.5 Daily user sending limit exceeded

The mailbox can usually send again within 24 hours. Repeatedly running into the limit is a strong signal that the account is being used for bulk mail, which is exactly the pattern Google's filters look for.

Why cold email needs much lower numbers

Limits are about volume. Reputation is about how recipients react. Cold email reaches people who have never heard of you, so it naturally gets fewer opens and replies and more deletions and spam reports than normal mail. Google weighs those signals for every sender.

Since 2024, Google's sender guidelines also set firm rules:

  • Every sender needs SPF or DKIM authentication, and should keep its spam complaint rate, as reported in Google Postmaster Tools, below 0.3%.
  • Bulk senders, those sending around 5,000 or more messages a day to personal Gmail accounts, need SPF, DKIM and DMARC, plus one-click unsubscribe for marketing mail.

A few spam reports on a mailbox that sends 40 emails a day is a much bigger percentage than on one that sends 2,000 newsletters to subscribers. That's why cold email is sent slowly, from many mailboxes.

Safe numbers for cold email

These ranges are widely used across the industry and are a good starting point:

Mailbox ageCampaign emails per day
Weeks 1 to 2None. Warmup only
Week 3Start around 10, add a few each day
Week 4 onwards30 to 40 at most

Warmup emails should keep running alongside your campaigns. They count toward the mailbox's total, so a mailbox sending 35 campaign emails and 20 warmup emails is sending 55 emails a day.

Signs you're pushing too hard

  • Temporary throttling: 421 4.7.0 or 421 4.7.28 responses that mention an unusual rate of unsolicited mail
  • Spam blocks: 550 5.7.1 responses saying the message is likely unsolicited
  • Bounce rates creeping above 2 to 3%
  • Opens and replies dropping while volume stays the same
  • A falling domain reputation in Google Postmaster Tools

When you see any of these, slow the mailbox down rather than retrying harder.

Scale with mailboxes, not volume per mailbox

If you need 20,000 emails a month, don't ask five mailboxes for 130 a day each. Use 17 to 23 mailboxes at 30 to 40 a day, spread across two or three domains, so one domain's reputation never carries everything. The cost calculator does this maths for any volume.

How Mailnitrix handles Gmail limits

  • Daily limits per mailbox, counted over a rolling 24 hours rather than reset at midnight, including campaign, one-off and warmup emails
  • Automatic cooldowns: a 24-hour rest after a 5.4.5 daily limit error, a one-hour pause (longer on repeats) after throttling, and a six-hour pause after a spam block
  • A campaign ramp that keeps new mailboxes out of campaigns for their first two weeks of warmup, then raises their cap day by day
