Acceptable use policy
Last updated: October 10, 2026
Mailnitrix is built for honest, relevant outreach. This policy is part of our terms of service and applies to everyone who uses the Service. It protects the people you email, your mailboxes and every other customer.
What Mailnitrix is for
- Business-to-business outreach to people whose role makes your email relevant to them
- Recruiting outreach to candidates
- Following up with people you already have a relationship with
What every sender must do
- Follow the law where you and your recipients are, including CAN-SPAM in the United States, the GDPR, ePrivacy rules and PECR in the EU and UK, and CASL in Canada.
- Be honest about who you are. Use accurate sender names and addresses and subject lines that reflect the email.
- Let people opt out, and respect it. Give recipients a clear way to stop receiving your emails and stop emailing them promptly when they ask, and in any case within 10 business days.
- Include a postal address where the law requires one.
- Only send from mailboxes and domains you own or are authorised to use, and set up SPF, DKIM and DMARC for them.
What's not allowed
- Emailing consumers (personal addresses) without consent where the law requires it, or using purchased, rented or scraped lists of consumer addresses
- Phishing, malware, impersonation, fraud or any deceptive content
- Content that is illegal, hateful, harassing, sexually explicit or that promotes violence
- Offers that are commonly abused, such as get-rich-quick schemes, unlicensed financial services or unlicensed pharmaceuticals
- Emailing addresses after they've asked you to stop
- Using warmup for anything other than warming up mailboxes you control, or interfering with other customers' mailboxes
- Trying to get around plan limits, provider limits or our security
Monitoring and limits
We watch delivery signals such as bounce rates, provider blocks and complaints. We may pause campaigns or mailboxes when those signals suggest a problem, for example a bounce rate above 5% or a spam complaint rate above 0.3%, and work with you to fix it.
Enforcement
Depending on how serious and how repeated a problem is, we may warn you, pause campaigns, suspend your account or close it. Accounts closed for serious or repeated breaches are not entitled to a refund.
Reporting abuse
If you received unwanted email sent through Mailnitrix, or you've seen the Service misused, email abuse@mailnitrix.com with as much detail as you can, including the email's full headers if possible.
